Pod Minutes

  • Patient advice request messages- going well overall
  • Several new MAs are in the process of being hired 
  • Out of Office physical box coverage for providers:
    • Lists are being sent out 
    • Issues with multiple providers out in September
    • Whoever is physically in clinic, try to check everyone's boxes to help out 
    • Will be a communication board soon to help centralize this information 
    • Johanson's box coverage: Denice will look into this to ensure Johanson's patients have been reassigned, 65+ patients should go to new geriatrician 
Feedback from Pods:
  • Clinic Paperwork:
    • Lots of paperwork is now being scanned into Epic which has been great for off-site providers
    • Off-site paperwork at 144th: Give to Destiny -- purple pod (in middle)
    • To help eliminate duplicate paperwork (scanned and physical versions): paperwork that is printed and scanned into Epic should be placed in a separate folder, goal will be to attempt to scan OR physically print paperwork
  • Communication:
    • Zoom seems to work best for groups 
    • Utilizing white boards/flags more to help streamline communication (note: key for flags is hung by the doors)
    • More dry erase pens and erasers are needed
  • Issues with Phones / Patient Calls:
    • We no longer have voice mail at our clinic due to safety liabilities (patients leaving critical messages)
    • Creates issues with phones ringing frequently 
    • Patients are on hold for a very long time and are calling clinic backlines instead
    • We are in the process of hiring more people in the call center to help shorten phone wait times
    • More urgent calls are being routed to MAs right now, this will hopefully improve as we continue our call center trainings 

  • Shout out to Diabetes Clinic! Continue to refer patients to this clinic. Any patient with an A1c >8.5%.

EZ call – Next training 9/1, will be recorded

Chaperones needed for female exams – reminder – full policy to come

Hospital follow-up visit can be 40 minutes!

Amwell Issues – Ryan F

            CHPG leadership is actively working to address performance gaps with Amwell, particularly those noted the past 2 weeks

            Please communicate about new performance issues you encounter

Drive Through Flu Shots – Ryan F

All Centura hospitals will have drive-through flu shots available this year (will be at 144th Health Campus)

The goal is to increase immunization rates and decrease office visits for flu shots. 

We will still have flu shots available for patients seen in the clinic for other reasons.

Change to placing referrals in Epic - Referrals should be "Internal" using favorite list, training to come
